Custom software or an off-the-shelf app? How to decide
There’s an app for almost everything, so why would anyone pay for custom software? Sometimes you shouldn’t. Here’s an honest way to decide.
Choose an off-the-shelf app when…
- Your process is standard: accounting, email marketing, basic bookings.
- The app does what you need without awkward workarounds.
- The monthly fee is small compared with the time it saves.
Custom software makes sense when…
- You’re paying for several apps and copying data between them by hand.
- Your way of working is what makes you different, and generic tools force you to change it.
- Subscription costs keep growing with every user or feature.
- You need something that simply doesn’t exist yet.
The middle ground
Often the best answer is both: keep the apps that work, and add a small custom tool that connects them, for example syncing orders into your accounts or building one dashboard from three systems. That’s usually far cheaper than replacing everything.
Questions that decide it
- How many hours a week does the current way cost you?
- What do your current apps cost per year, and how will that grow?
- What would happen if the app you rely on changed its prices or shut down?
- Do you need to own the system and your data outright?
